Meeting was called to order by Clay at 7:01 PM Eastern Time.

A motion was made by Bob, seconded by Steve to approve the September meeting minutes. Motion passed. Velma will forward the minutes for September to Rachel to post on the SCCA Foundation website.


FINANCIAL REPORT - Justin Hawkins

Financial report was presented

Donations continue to be good

Restricted, unrestricted funds and budget were discussed

Question raised regarding Test and Tune at Solo Nationals and donations made to the Tire Cleaning Area

  • Tire cleaning raised $556 and those funds have been sent to Rick Myers

  • Test and Tune funds will come from Nebraska Region – typically 1-2 months after Solo Nationals. Mark Walker is the point of contact for those funds.

Motion made by Raleigh, seconded by Howard to approved the financial report. Motion passed.

COMMITTEE REPORTS

Tire Rack Street Survival - Melanie and Howard   

Schedule for schools being worked on

  • 25 schools are scheduled so far for 2025

  • 21 schools have been completed, 4 remaining

    • SCCA was aiming for 40-50 schools in 2025, with BMW’s commitment to Tire Rack at a total of 100 schools

    • Discussed participation and a potential solution. Heyward and his team will be working on this in the future. Stay tuned.

  • School scheduled for January 2026 with Texas Region.

Executive Committee - Jeff and Arnie

Operations Manual

  • Clay brought the board up to date on the SCCA Foundation Reorganization, implementing the new Vision Statement and a marketing plan proposal.

  • Foundation SharePoint Site

    • A shared storage space for Foundation documents and resources using SharePoint has been established. Log-in instructions were provided to all Foundation board members. Care should be exercised when uploading information to keep it well organized and useful.

  • National Convention Presentations

    • Discussion of what to present for 2026 and the sessions were in 2025 and how these all fit into the new Vision statement.

Fundraising Committee - Jeff and Arnie

Donations report for September was reviewed. Donations continue to be good through the Member Account Portal.

The launch for the next Monaco trip has been very successful. Current total is $60,000. The sweepstakes closes on January 18, 2026.

October Donor Newsletter will feature legacy giving.

Communications - Jim

Archives - Bob

The SCCA Foundation and the IMRRC are approaching the tenth year of the twenty-year agreement between the two organizations on June 30, 2026. The agreement requires that the parties renegotiate the funding to be paid to the IMRRC.  This time table allows both parties an opportunity to evaluate the work completed and the priorities for the remaining 10 years of the contract.

  • History of the agreement

    • June 30, 2016 – SCCA, SCCA Foundation and IMRRC entered into agreement to relocate the SCCA Archives to the IMRRC facility in Watkins Glen. This agreement expires June 30, 2036.

    • July 1, 2021 – agreement amended to update certain terms. Amendment included extension of the SCCA Foundation’s obligation to provide $30,000 annually in funding to the IMRRC, paid semi-annually, through June 30, 2026, with new payment terms negotiated no later than June 30, 2026.

  • Parties need to determine SCCA priorities for the SCCA archives for the remaining term of the agreement and amount of annual funding needed to accomplish those priorities.

    • Status of the SCCA Archives

      • IMRRC staff to report on sorting, cataloguing and storing work completed to date and amount of time needed to complete that work.

      • Requests they receive for information – who is making those requests and time spent obtaining information.

  • SCCA Archives priorities, estimated costs through June, 30, 2036.

  • Clarify SCCA role in IMRRC building project – both physical space and funding.

Women on Track - Tere

Tere was unable to be on the Teams call.

VETMotorsports / Formula SAE / Museum of Ameican Speed, Lincoln – Raleigh

VETMotorsports
Funds have been paid to VETMotorsports program for 2025.

VETMotorsports in Texas and the Northeast part of the country is still quite active. A number of different activities have been tried – Solo, Track Night in America – to get the group involved. Current model doesn’t lend itself to growing. 

A motion was made by Jim to reevaluate the processes are handled with VETMotorsports as a Foundation and offer the grant program to VETMotorsports. (I do not have a 2nd from anyone on this motion. I do indicate that the motion passed.)

FSAE
October meeting in Lincoln, Nebraska was successful. Smaller attendance than expected with over 100 students attending.  SCCA and the SCCA Foundation were sponsors for dinner and the reception on Saturday evening. I will be working on 2026 FSAE budget.

Getting SCCA Regions involved with FSAE continues to be an issue. Volunteers from SCCA Regions is down at the events. Is the Carroll Smith Mentor’s Cup still a viable award? Many schools don’t have professors as advisors. Perhaps the grant program is the way to go for the FSAE program.

Howard will be working with Heyward Wagner on some sort of recognition for Tom Berry.

2026 Budget to be discussed in November.

Regular January 2026 meeting may be skipped due to SCCA National Convention starting on January 15, 2026.
